Administrative Specialist | Madison Office

Position Mission

Under the direction of the Human Resources Manager, the Administrative Specialist is responsible for providing administrative support to all departments at Wegner CPAs.

Primary Duties and Responsibilities

  • Provide back-up to front desk Administrative Assistant, including answering phones, greeting customers and covering the front desk during lunches, breaks and absences.
  • Participate in the administrative pool of duties, including creation and editing of letters, spreadsheets, reports, proposals, etc; appointment/conference room scheduling, event/meeting planning and coordination, ordering catered meals, preparing documents for firm-wide trainings, and any other projects or tasks assigned to the administrative team.
  • Serve as back-up to other admin team members with various busy season tasks, such as client engagement letters, assembling client tax returns, mailing of outgoing returns, and any other tasks associated with our busy deadline months for multiple departments.
  • Assist with Continued Professional Education registrations/coordination for accounting professionals.
  • Provide administrative support as needed to our Firm Administrator and Firm Accountant.
  • Performs miscellaneous job-related duties as assigned.

Required Education

High School Diploma or GED required.   Associate’s in Business or a related field is desirable.

Skills and Experience

  • One to two years of administrative experience and front desk experience
  • Working knowledge of Microsoft Office Suite-specifically Word and Excel
  • Demonstrated time management skills, ability to multi-task and prioritize, and remain calm in a fast paced environment
  • Strong verbal and written communication skills
  • Strong attention to detail

Working Conditions

Open floor concept office environment.  Will have work cubicle and access to computer, fax machine, telephone, postage machine, copier and scanner.

Physical Demands

Essential demands include sitting at a desk, working on a computer for long periods of time and using a telephone to communicate with internal and external clients and the general public.

Work Hours

Business hours Monday through Friday, 8:00am-5:00pm. Additional work hours will be expected due to the department’s increased work volumes during peak seasons.
