Position Mission

Under the direction of the Human Resources Manager, the Administrative Assistant is responsible for providing administrative support to all departments at Wegner CPAs.

Primary Duties and Responsibilities

  • Answer phones and direct calls.
  • Retrieve corporate voicemail messages and forward them to the appropriate individual.
  • Greet and assist visitors.
  • Open mail and handle appropriately (i.e., scan, stamp, place in mailbox, mail to employee’s home, etc.).
  • Handle outgoing mail and ensure it is ready for pickup by the deadline.
  • Complete daily deposits.
  • Assist other team members with completing client engagement letters, assembling client tax returns and mailing outgoing returns.
  • Create and edit letters, spreadsheets, reports and proposals.
  • Coordinate and oversee event/meeting planning, ordering catered meals and preparing training documents.
  • Manage Continued Professional Education (CPE) process.
  • Provide administrative support to Firm Administrator, Firm Accountant and HR Manager.
  • Other duties as assigned.

Required Education

High School graduate/GED required.

Skills and Experience

  • Proficient in Microsoft Office programs, particularly Word and Excel.
  • Minimum of three years of related experience preferred.
  • Strong time-management skills with the ability to multi-task and prioritize.
  • Team-player with excellent written and verbal communication skills.
  • Demonstrated efficiency in completing multiple projects within strict deadlines.

Working Conditions

Work is performed in a typical office work environment with limited exposure to physical risk.

Physical Demands

Essential demands include sitting at a desk, working on a computer for long periods of time and using a telephone to communicate with clients, staff and the general public.

Work Hours

Typical business hours are Monday through Friday from 8:00am – 5:00pm with a one-hour lunch. Additional work hours will be required during peak seasons.
